    How Automatic Inventory Deduction Works

From work order to stock update—fully automated, fully accurate, fully trackable

    1

    Technician Selects Parts

While creating or completing a work order, technician selects parts from inventory database: air filter, capacitor, belt, etc. Specify quantity needed for each part.

    Current quantity on hand displayed
    Insufficient stock warning before selection
    2

    Stock Validation Check

Before work order is saved, AssetLab validates sufficient inventory exists. If requesting 5 filters but only 3 available, error prevents work order completion until quantity adjusted or stock replenished.

    Real-time stock level check
Error message shows available vs. required
    Prevents overselling inventory

    Automatic Deduction

When work order is saved with parts list, database trigger automatically deducts quantities from inventory. No manual stock update form. No forgotten entries. Just instant, accurate inventory reduction.

    Triggered on work order save
    Updates quantity instantly
    Timestamp recorded for audit trail
    4

    Work Order Update Handling

If technician edits work order and changes parts list (adds part, removes part, adjusts quantity), old parts are restored to inventory and new parts are deducted. Inventory always reflects current work order state.

    Old parts restored first
    New parts deducted second
    Net inventory change calculated accurately
    5

    Automatic Restoration (Delete)

If work order is deleted, all parts are automatically restored to inventory. Accidental deletion or cancelled work? Inventory reflects reality without manual correction.

    Parts quantities added back
    Immediate inventory correction
    No manual intervention required

    How Reorder Points Work

Set a desired quantity for each part (your reorder point). When current stock falls below this threshold, the part appears in your low stock report. Filter parts table by "Low Stock" to see what needs ordering.

    Manual vs. Automatic Inventory Tracking

Stop relying on technicians to remember stock updates. Automation ensures accuracy.

    Manual Tracking

    • Technicians forget to log parts used
    • Stock levels drift from reality over time
    • Surprise shortages during critical repairs
    • Annual physical counts to reconcile
    • Spreadsheet reconciliation across teams
    • No validation before parts are used

    AssetLab Automation

    • Parts logged automatically on work order save
    • Stock levels always reflect actual inventory
    • Low stock warnings before you run out
    • Real-time accuracy without manual counts
    • Single source of truth for all users
    • Stock validation prevents overselling

    How Organizations Use Parts Inventory

"Before AssetLab, we ran out of critical HVAC parts mid-summer because technicians forgot to log usage. Now, inventory updates automatically when work orders are completed. We haven't had a surprise shortage in 18 months."

    David Martinez
    Facilities Director, School District
    18 months zero shortages

"The stock validation saved us. A technician tried to use 12 filters on a work order but we only had 5 in stock. System blocked the work order until quantity was corrected. Prevented a job site embarrassment."

    Lisa Chen
    Operations Manager, Property Management
    Stock validation prevented errors

"We used to do quarterly physical inventory counts that took 2 days and cost $8k in overtime. With automatic deduction, our stock levels are accurate in real-time. We cut physical counts to once yearly just for audit purposes."

    Robert Johnson
    Maintenance Supervisor, Manufacturing
    $24k/year saved on inventory counts

Your Inventory. Always Accurate. Always Automated.

Stop chasing technicians for stock updates. Stop running out of critical parts. Start trusting your inventory data—because AssetLab updates it automatically, every single time.
